Question 1

What is economic nexus?

Accepted Answer

It’s the point where a state can require an out-of-state seller to register and collect its sales tax, even with no office or staff there. Since 2018 every state with a sales tax has set one, usually $100,000 in sales into the state, sometimes with a transaction count as a second test. Each state picks its own amount and its own window.

Question 2

Why do Shopify stores find out late?

Accepted Answer

Because nothing in a store tells you. Thresholds differ by state, some count orders as well as dollars, and each measures a different window: this calendar year, last year, or the last 12 months. Most stores only look when their accountant does the year-end return, by which time months of uncollected tax may be owed out of their own pocket.

Question 3

How do you monitor nexus?

Accepted Answer

We watch your economic nexus directly in your Shopify Tax reports, through secure collaborator access to your store. We see the same numbers you do, measure them against each state’s threshold every month, and register you before you owe.

Question 4

Do you handle historical exposure?

Accepted Answer

Yes. If the nexus review shows you crossed a state in the past, we size what may be owed and walk you through the options, including voluntary disclosure where a state offers it. That work is quoted on the call before anything starts.

Question 5

What happens on the free nexus review?

Accepted Answer

A short video call. We look at where your Shopify store sells, map every state where you owe today or are getting close, and tell you what it would take to get compliant. You leave with a firm quote. There’s no card to enter and nothing to sign.

Question 6

When am I billed?

Accepted Answer

Only after the call, and only if you decide to go ahead. We send the quote, you approve it, and we invoice you. Onboarding is free.

Question 7

How does it work with Shopify?

Accepted Answer

You add us as a collaborator on your store, scoped to what sales tax work needs. We work inside your Shopify Tax reports and set up your Shopify tax settings correctly for each state you’re registered in, so the tax collected at checkout matches what each state expects.

Question 8

Who files the returns?

Accepted Answer

People, not a bot. You stay the registered seller in each state; we prepare every monthly, quarterly, and annual return from your Shopify data, reconcile it, and file it on time. TaxFlow is run by TaxFlow Labs, so our emails may come from a taxflowlabs.io address.

Question 9

Do you calculate tax at checkout?

Accepted Answer

No, Shopify does that. We make sure Shopify is set up to collect in the right states at the right rates, then file what it collected.

Question 10

Who is this not for?

Accepted Answer

Marketplace-only sellers (Amazon, Etsy, and similar collect and remit for you), and stores that sell in a single state with no nexus anywhere else.

Question 11

How is pricing structured?

Accepted Answer

Everyone pays a $49 monthly base fee, plus the state work you need: registrations from $49 per state and filings at $29 each. Notice responses start at $29 per notice, and other state work, such as calls, written responses, and amendments, starts at $75 an hour. Audit representation is quoted per case. You get a firm quote before any work starts.

Question 12

What would a typical store pay?

Accepted Answer

A store filing monthly in 3 states pays $49 + (3 × $29) = $136 a month for the base fee and filings. Quarterly and annual filers pay less, since there are fewer returns.

Question 13

Are state fees included?

Accepted Answer

State registration and filing fees are set by each state. We pass them through at cost, itemized on your invoice, never marked up.

Question 14

Is there a contract?

Accepted Answer

No annual lock-in. Monthly services can be cancelled at any time.
